Hi all, My husband and I manage around 50 doors across several buildings in the Bay Area, and we're struggling to keep up with maintenance requests from tenants. We've been handling things manually, but as we've grown, it's getting harder to keep track of everything. For those of you managing multiple properties, what's been the best way to streamline tenant maintenance requests and stay on top of them? Do you use a dedicated maintenance coordinator, outsource, or have another system that works well?Reply by Aiden
Hi Layla! I used to use emails and track everything in an excel sheet, but I got too many properties for that now.
I use property management software now and it's much easier. It's not perfect, but it's the best way I can find to keep everything organized and efficient. Just try to get your tenants onboard with it and get everyone using it.

Hi Layla,
I’m new to real estate investing so I don’t have the experience you do, but I’ve been looking into different ways to manage multiple properties. From what I’ve researched, property management software is what you’re looking for. There are platforms out there that streamline maintenance requests, letting tenants submit issues directly through an app or portal, and it all gets tracked in one place. It seems like a great way to stay organized and keep on top of things, especially when you’re managing so many doors.
Some of the platforms I’ve come across also help with tenant communication and tracking repairs, which could save you time from manually handling everything. I’d suggest looking into a few different options to see what might work best for your setup.
Just thought I’d share in case it helps!

Hi Layla, have you considered setting up a dedicated email and phone line for just maintenance requests. By brother does this for his properties and it works well for him. Just check every morning and in the evening. You don't necessarily need a complicated system for it.
